How to Run a System Wide Search
Enter tenant search information in some or all of the search fields. The more information you enter the more the search will be narrowed down to the best options.
Enter a last name for the search or leave the field blank.
For example:
If you enter a last name of Smith and leave all other fields blank, you will get a listing of every Smith household member in the housing modules.
Enter a date of birth for the search or leave the field blank.
For example:
If you enter 05/01/1936 as a date of birth and leave all other fields blank the system will generate a listing from all modules for any tenant members born on that day.
Enter a positive number in this field to search for all tenants who were born within that many days of the birth date entered.
For example:
If you entered 365 with a date of birth of 05/01/1936, the system would list all tenant members who were born within a year of 05/01/1936.
Enter a tenant's social security number to search for all tenant information with the same social security number.
After the search button is pressed the grid will display the following information for any found tenant members:
Location - Displays the module the tenant member's information is pulling from
Reference - Displays the tenant number for the module
Soc-Sec - Displays the member's social security number
Name - Displays the members name and relationship to head
Effective Date - Displays the effective date
Status - Shows if the member is active or inactive
Click the search button to begin a search based on the lookup criteria entered and display the results in the grid.
Tenants who are in the Housing Billing module for bad debts/collections will be listed first and highlighted in red
Click the start over button to clear the lookup criteria fields and the search grid so that new information and a new search may be performed.
Click the open button to bring up tenant information whose location is reported to be in the module you are searching from.
If the tenant information is listed in red, meaning they are in the Housing Billing module, a Collection Details view will display documentation from the Housing Billing module for the applicant or tenant.
For example:
If you see search results for 2 Smiths and one has a location of Waiting List and the other one has a location of Tenant Management.
Note:
You will only be able to open the Tenant Management record from within Tenant Management.
Click the Close button to close the program.
