How To Complete the Inspection Process for Public Housing

Review Inspections Due Report

NAVIGATION: PROCESSES menu > Inspections Due Report

  1. Select the Area and Community or leave blank to get all areas/communities on the report.
  2. Enter a Start and Ending Date range to see the inspections that are due between the dates entered.
  3. Click Preview, Print, E-mail or Export

NOTE: This step may be skipped if you are doing inspections for an entire building regardless of the dates.

Pull Inspections

Follow these steps to pull the Inspections that are listed on the Inspections Due Report

NAVIGATION: PROCESSES menu > Pull Public Housing

  1. Enter the same selections as for the Inspections Due Report
  2. Leave the Pull Mode at Units Only
  3. Ignore the Instant Scheduling Setup for this process
  4. Click Process to pull the units.

NOTE: To pull one unit at a time: NAVIGATION: Activities > Inspection Master > Pull > Pull Public Housing Unit.

Schedule the Inspections

NAVIGATION: ACTIVITIES menu > Multiple Date/Time

  1. Select a Group Code from the drop down box
  2. In the grid, enter a handheld #, Scheduled Date, Time in front of the Addresses to be inspected
  3. The system will enter the scheduled date in the Unit Inspection Master "Scheduled Date"
  4. Save and close

NOTE: If only one unit was pulled: NAVIGATION: Activities > Inspection Master pull up the unit that was pulled and enter the Scheduled Date.  

Print Tenant Letters

Send a letter to the tenants with inspection date and time

NAVIGATION: ACTIVITIES menu > Batch Letters

  1. Select a Letter and Group Code
  2. Enter the Scheduled From and To Dates
  3. Click Build from Selections
  4. Click Print Batch

Record the Inspection

NAVIGATION: ACTIVITIES menu > Inspection Master

  1. Enter or select the Inspection #
  2. On the tool bar click Details
  3. Select the Room or go to Room Options and select Add a Room  
  4. If a deficiency applies, double click it to change the Pass to Fail or check Pass with Comments and then type in the comments.
  5. Click Closed when finished.

Inspection Master

Document information in the Unit Inspection Master

NAVIGATION: ACTIVITIES menu > Inspection Master

  1. Select the Inspection #
  2. Go to the Inspection tab - choose Inspection Type and fill in Inspection Tracking Information

Failed Inspection

If the Inspection was Failed - forward to Maintenance

NAVIGATION: Toolbar > WO

  1. Click Yes to create the work order

Print

NAVIGATION: Toolbar > Print > Print Inspection Form

  1. Review/edit selections
  2. Click the Print button
