How To Link Buildings and Sites for Inspections

In order for a building or a site to be pulled into the Inspection Master, they have to be linked in Tenant Management and Maintenance Management.

Inspection Program

NAVIGATION: INSPECTION menu > Maintain > Inspection Groups

  1. Enter a unique Group Code
  2. Enter a Description for the new group code
  3. Select a Dictionary Book
  4. Select a Class of Site or Building depending upon which you are setting up for inspection purposes
  5. In the grid select Room Codes for areas that should be inspected
  6. May select multiple lines of room codes
  7. The selected room codes should have been check marked as Building or Site in Inspectable Areas (Rooms)
  8. Click Save

Maintenance Management Program

NAVIGATION: MAINTAIN menu > Maintenance Tables > Site Locations

  1. Enter the Area code
  2. Enter the Community code
  3. Enter GEN as the Unit number
  4. Enter address information in Address 1 and Address 2
  5. Bedroom Size and Group ID should be left blank
  6. Click Save

NOTE:  The Site Location code can be used for both a building and a site.

Tenat Management Program

NAVIGATION: MAINTAIN menu > Tenant Management Tables

For Sites open the Community Master

  1. Select the Area ID
  2. Select the Community ID
  3. Click the Interfacing 2 tab
  4. Select the Site Group that was setup in the Inspection module with a class of Site
  5. Select the WO Site Link that was setup in Maintenance Management
  6. Click Save

For Buildings open the Building Master

  1. Select the Area Number
  2. Select the Community ID
  3. On the General tab
    1. Select the Building Number
    2. If a building has not been setup, enter a unique Building Number
    3. Leave Entrance Number blank
    4. Enter the Building Name
    5. Enter the building's address in Address 1 and Address 2
    6. Enter the City, State and Zip Code for the building
    7. Enter the Year Constructed
    8. Select a Building Type from the list
    9. Enter the Number of Floors in the building
    10. Enter the Number of Units in the building
  4. On the Inspections tab
    1. Select the Inspection Group that was setup in the Inspection module with a class of Building
    2. Select the WO Site Link that was setup in the Maintenance Management module
    3. In the Grid, Select Room Codes and assign Floor, Room and Comments as applicable
  5. Click Save
  6. In the Inspection module, sites and buildings will now pull for inspections.
