Note: This process will also update the applicant's mailing address with their unit address.
Go to Processes>>Applicant to Tenant Wizard - Tenant Management
Click Next
Select the Application For. User can click on the Prompt Box (box with dots). This will give the user available options. Make selection by Double Clicking on the correct option.
Enter the Tracking Number or Last Name.
User should now see the Applicant that is Moving In.
Check the Waiting List that this Applicant will be Housed from.
Hit Next
Unit Information
Select the Area by clicking on the Prompt Box
Select the Community by clicking on the Prompt Box
Enter the 4 digit Unit or click on the Browse Button and make selection
Tenant suffix will be assigned by the system
If this is the correct unit and tenant number, hit Next
Move-In Information
Enter the Move in date and hit tab
Depending on the Tenant Accounting Link Mode in Settings>>Waiting List, the following information may be entered:
Enter the Transaction Date, if available
Enter Security Deposit Required
Enter Pet Security Deposit if applicable
Enter Paid information for Security Deposits
Enter any other Required and Paid fields, if applicable.
View or edit Admission Rent Charge
Enter Admission Rent Payment
Enter Check Number
Click the Print Receipt button to print out a receipt, if applicable
Hit Next
Finish
Hit Finish
Print out all Registers for your records.
Check Applicant Status
Depending on how your program is setup your applicant may still be in with the active applicants or they may be in the inactive applicants
In either the Applicant (Active) or the Inactive Applicants:
Select Application For
Enter Tracking Number and hit Tab.
Make sure the appropriate waiting list is marked housed or that your applicant's status is Housed.
The Applicant's mailing address should have been updated with the new unit address.
In the Tenant Management Module
Tenants (Active)
Go to Maintain>>Tenants (Active)
Enter Tenant Number or Enter Last Name
Once Correct Tenant is pulled up, Check the Moving In Box
Verify the Status as Active, the Action as New Admission, and the Effective Date as the date of Move In.
Click on the Contracts Tab…Enter all applicable Information especially Lease Information and Next Re-Exam Date.
Go through the rest of the Tabs and Review all information
If applicable, review the Tenant's Activity, History and Accounting information for Rents and Security Deposit information
When finished reviewing the information, return to the Main Tab and click on the arrow beside the Save Icon and do a Save Without Clearing
Go to Household Composition Screen:
If user needs to Edit an existing Member, double click their name
If user needs to add a member, click on Quick Link and select Household Composition
Verify all information about each Member including Income, Assets, and Deductions
Edit an Existing Income, Asset, or Deduction, double click on that Line
To Add an Income, Asset, or Deduction, click on Quick Link and make selection
Once all Information is verified, Save and return to Tenant Master
Go to Quick Link>>Rent Calculation
Make sure Date matches Effective Date on front screen
Hit Auto Calculation one time
Verify all information on Main Screen
Verify TTP
Click on Rent Calculation Tab
Enter Utility Allowance and hit Tab
Verify Contract Rent
Save and Close the view
Go to Quick Link>>Auto-Bill Setup
Verify the Monthly Rent and other charges
Close the Screen
Go to Quick Link>>Create 50058 Record
If you get any errors - fix and create the 50058 again
If you see "No Validation Errors - Print 50058 Now" click Yes to bring up the 50058 Form view where users can print the 50058 as well as the Summary Application and Rent Worksheet
Dependent upon the Tenant Accounting Link information in Waiting List Settings, the following programs may need to be entered or reviewed and posted:
Cash Receipts Entry
Go to Activities>>Cash Receipts Processing>>Cash Receipts Entry
If the Tenant Accounting Link "Mode" does not automatically create a Cash Receipt Entry, a transaction will need entered in the Tenant Management module.
Please refer to the How To information for processing Cash Receipts in the Tenant Management module for information on entering cash receipts.
Go to Help>>How To - select How to Process Cash Receipts or How to Process Cash Receipts in Class Mode
Cash Receipts Edit List
Go to Activities>>Cash Receipts Processing>>Cash Receipts Edit List
Select the Area Number the applicant was moved into
Select the Community Number for the moved in tenant
Select a display option by clicking in one of the circles
Click Preview or Print
Review the information, if it is ok, proceed to Post Cash Receipts
Post Cash Receipts
Go to Activities>>Cash Receipts Processing>>Post Cash Receipts
Select the Area Number the applicant was moved into
Select the Community Number for the moved in tenant
Click Post
Click Yes
Print out the Register
Adjustment Entry
If the Tenant Accounting Link "Mode" is not setup to automatically record rent information, the transaction will need to be entered in Adjustment Entry, if applicable.
