Process 941 Form

941 Liability Detail Report

Follow these steps to generate a 941 liability detail report for the date range entered.

NAVIGATION: REPORTS menu > Payroll Reports > 941 Processing > 941 Report

  1. Start Date: Enter or select a beginning date for the report range.
  2. End Date: Enter or select an ending date for the report range.
  3. Preview or print the report (see Report Preview, Print and Save Options)

Pull 941 Information

Follow these steps to pull 941 information which will be used to populate a 941 form, a Schedule B and a 941 Voucher when applicable. A 941 Voucher is only available when a payment is indicated on the 941 form.

NAVIGATION: REPORTS menu > Payroll Reports > 941 Processing > Pull 941 Information

  1. Quarter Ending End Date: Enter or select the last day of the quarter you are pulling 941 data for.
  2. On the Quick Links bar, click PULL to begin the process of pulling 941 data.

View/Edit 941 Information

Follow these steps to display and allow editing of some of the information that was pulled for the 941 form.

NAVIGATION: REPORTS menu > Payroll Reports > 941 Processing > View/Edit 941 Information

  1. Quarter Ending: Enter or select the last day of the fiscal quarter that 941 information has been pulled for.
  2. Signature Date
    1. Enter or select a date for the signature on the form.
    2. This is the date the person whose name was entered in Payroll Settings as the "Signed by" on the 941 Information tab.
  3. Deposit Mode: Select one of the following options that reflects how your deposits are made:
    1. Monthly
    2. Quarterly
    3. Semiweekly
  4. Review the tabs to verify or enter the amounts.
    1. Fields available for entry or editing: fields are open and can type text
    2. Fields that only display information: fields are dimmed and cannot be adjusted
  5. General Information Tab
    1. Employer Information: Pulling from information entered in the Company Information program found under System is the following information:
      1. Employer Name
      2. Employer Address1 and Employer Address 2
      3. Employer City, State and Zip
      4. Employer EIN
      5. Trade Name
      6. A Trade Name may be entered, if any, for the 941 form.  
      7. Signature Name and Title
        1. The Signature Name and Signature Title will pull from the information entered in Payroll Settings>>941 Information tab or they may be entered here.  Information pulled from the 941 Information tab may be edited.
    2. Third Party Information Third Party Name, Phone and Pin
      1. The Third Party Name, Phone and Pin number will pull from Payroll Settings from information entered on the 941 Information tab or the information may be entered or edited.
  6. Wage Information Tab: The following information will be pulled or may be entered.  All information may be edited except for Tax Amounts and Totals.
    1. Number of Employees
    2. Wages, tips and other compensation
    3. Income Tax Withheld
    4. Taxable Social Security Wages and Tax Amount
    5. Taxable Social Security Tips and Tax Amount
    6. Taxable Medicare Wages and Tips and Tax Amount
    7. Additional Medicare Wages and Tips and Tax Amount
    8. Total Social Security/Medicare
    9. Section 3121(q) Notice and Demand
    10. Total Taxes before Adjustments
  7. Adjustments Tab
    1. Sick Pay Adjustment
    2. Fraction of Cents unless Fraction Override is checked. Fraction of Cents information:
      1. There are no Federal guidelines as to the limit you are allowed to have on the “fraction of cents” line on form 941.  Using the Horizon 941 process will cause your fractional adjustment to be zero in 1 of 2 circumstances:
        1. Your Fraction of Cents adjustment is $2.00 or more
        2. Changing the Wage Information amounts or Total Deposits causes the Fraction of Cents adjustment to recalculates as $2.00 or more
      2. If you feel the fractional adjustment should be an amount other than zero, check the Fraction Override box and enter the amount.  Make sure to hit the Tab key twice until the balance due or over payment recalculates.
      3. Do not remove the Fraction Override check mark.  This may cause the Fraction of Cents to recalculate.
    3. Group-Term Life Adjustments
    4. Total Tax After Adjustments
    5. Qualified Small Business Tax Credit
    6. Nonrefundable portion of credit for qualified sick/family leave wages for leave taken before 3/2021
    7. Nonrefundable portion of credit for qualified sick and family leave wages for leave taken after 3/2021
    8. Total nonrefundable credits
    9. Total Taxes after adjustments and nonrefundable credits
  8. Deposit Information
    1. Total Deposits
    2. Refundable portion of credit for qualified sick/family leave wages for leave taken before 4/2021
    3. Refundable portion of credit for qualified sick and family leave wages for leave taken after 4/2021
    4. Total deposits and refundable credits
    5. Balance Due
    6. Over Payment: select from the following options:
      1. Apply to Next Return
      2. N/A
      3. Send a Refund
  9. Qualified (Part 3)
  10. Liability Details Tab
    1. Deposit Grid: The Date and Amount of deposits made for each pay period that has been processed will be displayed in the grid.
    2. Liability Details: Deposit information for the following will be displayed:
      1. Month 1 Liability
      2. Month 2 Liability
      3. Month 3 Liability
      4. Total Liability

Print 941 Quarterly Form

Follow these steps to generate a 941 quarterly form, a Schedule B and a 941 Voucher.  The forms will be available to view, print, email, or export. Note: A 941 Voucher is only generated when a payment is indicated.

NAVIGATION: REPORTS menu > Payroll Reports > 941 Processing > Print 941 Quarterly Form

  1. Quarter End Date
    1. Enter or select the last day of the quarter that 941 information has been pulled for.  
    2. The form will not be displayed if the information has not been pulled using the Pull 941 Information program.
  2. Preview or print the report (see Report Preview, Print and Save Options)
