Residential Attendance Entry

Residential attendance needs entered to show when a consumer was present at a residential home or on medical/therapeutic leave. The information entered will flow into the billing process for both the eligible and ineligible claims.  

Multiple Attendance Entry 

NAVIGATION: TRANSACTIONS menu > Attendance Entry

  1. In the HOME OF SERVICE field, select the home.
  2. The EMPLOYEE field will default to your employee number.
  3. Attendance Option will default to Present.
  4. Add the begin date and end date.
  5. Click the LOAD CURRENT HOME button.
  6. All the consumers open to the home selected will appear in the grid and will be selected (check first column).
  7. To exclude one consumer from this process, click the check box at the beginning of the line to clear the check mark.
  8. Click the CREATE ATTENDANCE button.
  9. The system will create the daily HI entry and ineligible entry. 
    1. It may take a moment to create a month of services for each consumer. 
    2. When complete, an informational prompt will appear, click OK.
  10. Update the WITH DAY service dates using the Individual Attendance Entry.  The individual entry will overwrite the first entry.
  11. To record medical/therapeutic day, use the Individual entry to select the specific days.
  12. Click the VIEW ATTENDANCE button to review the existing attendance for the consumer. 

 If you maintain the Consumer Master Day Program tab with the dates the individual attends day programming, when you create attendance, the system will know which days should be WITH DAY and mark them accordingly. 

Individual Attendance Entry

After you have created attendance for all consumers, use the individual attendance entry to change the dates that were with day services or medical/therapeutic days.

NAVIGATION: TRANSACTIONS menu > Attendance Entry

  1. Click the INDIVIDUAL button on the left of the screen.
  2. Select the individual using the case number or last name field.
  3. Select the HOME OF SERVICE.
    1. The list will be restricted to only the homes the individual is open to.
  4. The EMPLOYEE field will default to your employee number.
  5. Click the VIEW ATTENDANCE button to review the existing attendance for the consumer. 
  6. Select the correct ATTENDANCE OPTION:
    1. WITH DAY PROGRAM
      1. Attendance Option: select Present
      2. In Day Program: select In Day
    2. MEDICAL DAYS
      1. Attendance Option: select Medical Leave
      2. In Day Program: select the first blank option
    3. THERAPEUTIC DAYS
      1. Attendance Option: select Therapeutic Leave
      2. In Day Program: select the first blank option
  7. Select the days you want to enter.
    1. DAY SELECTION
      1. Click the dates on the calendar.
      2. A list will appear to the right of the calendar in a grid.
      3. To remove a date, uncheck the date in the grid.
    2. BY DATE RANGE
      1. Enter a begin date and end date.
      2. Select the days of the week you want the entry recorded, i.e., if the individuals is in day programming every Monday and Wednesday, check only those days.
  8. Once you have the dates selected, click the CREATE ATTENDANCE button.
  9. The individual entry will overwrite the initial entry made using Multiple Attendance entry.

The quickest way to enter attendance for a home is using Load My Homes by creating attendance for all consumers in all homes for the entire time frame. After all the attendance is created, use the Individual Attendance to change the dates that were with day services or therapeutic/medical leave.  The second entry will overwrite initial entry that was made with Multiple Attendance. A system administrator needs to update the Employee Master Home Assignment tab for this feature to work properly.
