Time Based Service Entry

Staff can enter billable services on the time based entry screen. The information entered will flow into the billing process.  At the end of this topic are two videos to review how to enter time based services and how to use recurrence in service entry.

NAVIGATION: TRANSACTIONS menu > Service Entry

  1. Select the consumer by typing the case number in the case number field or use the browse button to view the list of all consumers. The consumer name and case number will auto-populate at the top of the screen.
  2. In the FACILITY field, select the facility where the service was provided. If you use the browse button, only the facilities that the consumer you selected is open to. Press the TAB key.
  3. In the SERVICE DATE field, type the date the service was provided.
  4. In the SERVICE field, select the service code. If you use the browse button, only the services that will appear the are the services that the consumer has a current authorization. Press the TAB key.
  5. In the CP field, select if the service was provided in the community or the facility.
  6. Enter the start time and end time in the appropriate fields.
  7. The PAYOR should automatically be populated with the insurance that is set-up in the consumer master payor information.
  8. In the Action Panel, click the QUICK NOTE button to write a note (open text).
  9. When you have all the information complete, click SAVE.
  10. Remember Values
    1. If you are entering the same information for multiple consumers, select the facility, date, service, and times that apply for all entries.
    2. In the REMEMBER VALUES section, check the information you want to save for the next entry.
    3. After you click SAVE for your first entry, the information you have checked will still appear on the new screen.
    4. Select the next consumer and click SAVE.
  11. In the DOCUMENTATION REFERENCE section, you can refer to the consumer's ISP, daily notes, service notes, or monthly notes if you need to look up any information.

Action Panel Icons

  1. RECURRENCE:  If the same service was provided on multiple dates, click the RECURRENCE icon to select all the dates that you want to create the service for.
  2. SERVICE TRACKING:  This icon will show you all the services that were provided to the individual during the date range you select.
  3. OVERRIDE DATE:  If you are attempting to create a service for a date that is more than 30 days before the date of entry , click the OVERRIDE DATE icon BEFORE you click SAVE.
  4. QUICK NOTE:  Use this icon to open a note screen where you can type a general note linked to the service ticket.
  5. CONSUMER PROFILE: This icon will show you the general information in the system about the individual.  Information includes the grouping codes, needs level, date of birth, address, etc.  You can also access the ISP from the consumer profile screen by clicking on the ISP review icon.
