Create Accounts Receivable
This process will create aged accounts receivable (AR) and post the detail to history for all claims. If you do not use the Horizon financial package, this process will provide you with the information to record revenue in your general ledger.
Make sure AR is created after you submit your EDI billing file or 835 files will not process properly. Creating AR is required for processing voids and adjustments.
Review AR Edit List
This report will show the billing to be posted to A/R and revenue based on the payor and date selections. The end of the report will also show the revenue and A/R account breakdown.
NAVIGATION: BILLING/AR menu > A/R Edit List
- PAYOR GROUP: select PROMISe
- DATE SELECTION: enter or select the begin and end date
- Place a check mark in the NOTIFY box and click the PROCESS button.
- When the report is ready to review, a prompt will appear that says the report is complete.
- Click YES to open the report in a new window.
- If you do not click notify, you will need to access the report from your dashboard and it will open in the same window.
- If you want to create an Excel file, check the EXPORT TO FILE box before you process the report.
- The report will display on the screen and the file will be available on your dashboard so you can download/save it to your computer.
Once the Create AR process is completed, the billing is moved to history. If you try to run an AR edit list for the same time period the AR was created, the report will be blank.
Post AR
When you are posting cash receipts or AR, if there are validation errors you need to fix the error and re-run the process. The report will show what the error is so you can correct it. Once you correct the problem, re-run the process.
NAVIGATION: BILLING/AR menu > Create Accounts Receivable
- PAYOR GROUP: select PROMISe
- DATE SELECTION: enter or select the end date of the billing period
- Place a check mark in the NOTIFY box and click the CREATE AR icon.
- This process will take some time since it is posting the claims detail to history for all claims in the billing period. You will be able to continue working in other areas of the system while this is processing.
- Once this process is complete, you will review the Accounts Receivable Transaction Register report. On the last page, the total amount billed should match the amount billed in the previous steps.
- Important points to remember:
- If a service is marked as paid through this process, the actual service entry will be moved to history and locked so no edits can be made.
- Once you create AR, if you attempt to process the AR Edit List for the same time frame, the report will be blank.
