Close a Consumer

If a consumer no longer receives services from your agency, follow the steps below to close the consumer record and remove from the billing process.

Close Service Plan

In order to keep a historical record of all the authorized services for a consumer, follow this process to close a service plan. You typically would never want to delete a service plan unless it was entered in error.

NAVIGATION: MAINTAIN menu > Consumers > Quick Link panel > Service Plans

  1. Select a consumer by typing the case number in the case number field or use the browse button to view the list of all consumers. You can also tab to the Last Name field and begin typing the last name to select from a list of consumers.
  2. In the Quick Link panel, click the SERVICE PLAN icon.
  3. In the grid, click on the service you need to end.
  4. In the SERVICE PLANS dialog box, complete the following information:
    1. In the END DATE field, enter the date the authorization ended.
    2. In the STATUS field, select a status of either EXPIRED or CANCELLED depending on the situation.
  5. Click SAVE.
  6. The authorization will be removed from the list.
  7. To view all closed authorizations in the Authorization Grid, click the SHOW ALL button.

Close Program Status

In order to keep a historical record of all the facilities a consumer has been active to at your organization, follow this process to close a facility. You typically would never want to delete a program status unless it was entered in error.

NAVIGATION: MAINTAIN menu > Consumers > Quick Link panel > Program Status

  1. Select a consumer by typing the case number in the CASE NUMBER field or use the browse button to view the list of all consumers. You can also tab to the LAST NAME field and begin typing the last name to select from a list of consumers.
  2. In the Quick Link panel, click the PROGRAM STATUS icon.
  3. In the grid, click on the facility you need to close.
  4. In the STATUS FORM dialog box, complete the following information:
    1. In the CLOSED field, enter the date this consumer was closed in the facility.
    2. In the STATUS field, select a status of CLOSED.

       Make sure all outstanding billing for the consumer has been submitted before changing the status to CLOSED. You can add a date in the closed date and leave the status as ACTIVE until all billing has been processed.
  5. Click SAVE.
  6. The closed facility will be removed from the list.
  7. To view all closed programs in the Program Grid, click the SHOW ALL button.
  8. Once you complete the steps below, when you open the Consumer Master and select an individual, a prompt will appear at the top left showing if the individual is OPEN or CLOSED.
