Import Income Entries from a Bank File

This process is used to import client income information from a bank file. After the process has run, the entries will display in the Income Entry (found under Activities). Import formats may be unique to each bank. Please do not use this process for the first time without contacting the Horizon Help Desk.

If your bank file format changes, your import format needs updated. Reach out to Horizon if your bank file format changes.

Step 1:  Get the Bank File Ready

  1. Download the file from the bank
  2. The file must be a .CSV file.
  3. Make sure the file came from your bank – don’t change the format, delete columns/rows, change headers.

Step 2: Import the File

  1. Open Stratus Rep Payee
  2. Go to the Utilities menu > Exports/Import > Choose Import Bank File (Income)
  3. Import Format: pick your import format 
  4. Select File: click the paperclip to browse and find the bank file from Step 1 on your computer.
  5. Settlement Date: leave this field blank
  6. Click IMPORT
  7. Import Success: a prompt will appear that the import was a success; Click OK
  8. Import Errors: a prompt will appear that there was an error on the import, review the report on the dashboard
    1. Click OK
    2. Go to your dashboard and open the Import Error Report
    3. Fix the issues, typically the client social security number (see tips below)
    4. Repeat Steps 2 - 7

💡 Tips

  1. Client wages need manually entered in Income Entry
  2. Client social security number in the bank file must match what’s in the system
    1. Client Master > General Tab > Social Security Number
    2. If the client receives social security under their parent, enter the parent social security number from the bank file into the system Client Master > General Tab > Bank Link

Step 3: Review the Income Edit List

The Income Edit List will show you a report of the income entries to review before posting. Income transactions that have not been posted can be modified.

NAVIGATION: ACTIVITIES menu > Income Processing > Income Edit List

  1. Review the Income Edit List - Make sure the overall total is correct
  2. Once an income transaction is posted, it cannot be modified and another income entry would need entered to correct the error.
  3. Horizon suggests that you preview your Edit List to identify any errors in income entry before posting.  
  4. If you identify an error, go back to the Income Entry to correct.

Step 4: Post Income

NAVIGATION: ACTIVITIES menu > Income Processing > Post Income

Once you are satisfied the income entries are correct, post the income.
