
How to Print a Batch of Late Charge Notices
Step 1: Review Delinquency Report
NAVIGATION: ACTIVITIES menu > Delinquency Processing > Delinquency Report
- Select the Area Number
- Select the Community Number or leave blank to include all of the communities within the selected Area
- Enter or select the Effective Date. The report will use the Effective Date to determine the delinquency status of tenants.
- Select a Tenant Status of Active
- Check Use Late Charge Rules
- May also check:
- Print Tenant Addresses to include the tenant's addresses on the report
- Include Credit Balances to show tenant's to whom the Housing Authority owes money on the report
- Check Create Merge Interface
- This box must be checked to use Build From Last Report in Batch Print a Letter
- Select a Sort Order of Alpha Within Community or leave at the default Unit Number.
- Preview or Print the report
Step 2: Batch Print a Letter
NAVIGATION: REPORTS menu > Batch Letters and Forms
- Select the Letter Code for a Delinquency letter
- Select the correct late charge notice form that has been setup as a Merge Template.
- When using Build from Last Report, there is no need to select the Area Number, Community Number, Unit Selection, Selection Type, From or To Date
- Press the Build from Last Report button, located on the lower right corner of the view, to populate the grid with the same tenants that were on the Delinquency Report run with Create Merge Interface box checked.
- Enter or select a Letter Date other than today's date, if applicable. This date will be printed on the Late Charge Notice if the merge field was used in the template.
- If a tenant appears in the grid who should not receive the delinquent letter, the X box may be clicked to uncheck the tenant. Tenants who do not have a check mark in the grid, will not receive the letter.
- Press PRINT BATCH to begin the printing process
- Enter any Special Questions, if they appear
- Review the Print Target. Change to a different printer, if applicable.
- Press START to begin printing.
