Tenant Scheduling

This process is used to assign appointment dates and times to tenants for their next reexamination.

NAVIGATION: ACTIVITIES menu > Appointment Processing > Tenant Scheduling Grid

  1. Area Number: enter or select the area to schedule appointments; leave blank to see all areas
  2. Community Number: enter or select the community to schedule appointments; leave blank to see all communities
    1. A community cannot be selected if the Area Number was left blank.
  3. Date Selections Next Reexamination
    1. From: enter or select a beginning date for the reexamination range, i.e., 4/1/23
    2. To: enter or select an ending date for the reexamination range, i.e., 4/30/23
  4. The grid should show all of the recertifications that are due within the date range entered.
  5. If the grid does not display the information, Rebuild Grid
    1. Click the REBUILD GRID button after selections have been entered.  
    2. The grid will populate with tenants whose next reexamination falls within the range entered.
  6. The grid contains the following information or columns:
    1. Appointment Date
    2. Appointment Time
    3. Tenant Last Name
    4. Tenant First Name
    5. Area Number
    6. Community Number
    7. Unit Number
    8. Tenant Number
    9. Next Re-Exam date
  7. Appointment Grid
    1. Enter the Appointment Date and Time in the grid for each tenant.  Tab between each field and line.
    2. When entering the Time, AM or PM must be entered.
    3. Use Alt + D to enter the default appointment date (entered in the field at the bottom).  
    4. Information is automatically saved in the grid when the cursor is moved to the next line.
  8. Default Appointment Date
    1. Enter or select a date for re-exams in this field.  
    2. When entering appointment date and times in the grid, pressing Alt + D will auto-fill in this date as the tenant's appointment date.
  9. When all Appointment Dates and Times have been entered, click SAVE
  10. To view the scheduled appointments, run the Tenant Scheduling Report
