Service Detail Report

This report will show all services entered in the system.  This report should be reviewed during the data entry process and before moving on to the billing process.  

NAVIGATION: REPORTS menu > Service Detail Report

  1. Enter the begin and end date in the SERVICE DATE RANGE field.
    1. If you run the report with only a start and end date, all services will be displayed.   
    2. You can restrict the report based on the information you want to review.
  2. Restrict the report based on:
    1. Facility: select just one facility or leave blank for all
    2. Program: Promise or non billable
    3. Case Number: select just one consumer or leave blank for all
    4. Employee Number: select just one employee or leave blank for all
    5. Service: select just one service or leave blank for all services
    6. Service Grouping: select a specific group of services or leave blank for all
    7. Case Manager: select one case manager or leave blank for all
    8. Payor: select the payor you want to review; typically PROMISe
  3. Additional options can be selected to further refine the report results. In the OPTIONS section, select:
    1. BILLING OPTION: the options are billed or not billed.
    2. GROUP BY: these options will give you different ways to group the information on the report, i.e., by facility, by program, by consumer, etc.
    3. SELECT DATA FROM: the options are entry and history. Entry are claims that have not been billed yet; history are claims that have already been processed and paid.
    4. DISPLAY CURRENT USER ONLY: this check box will limit the report to only the current user logged into the system.
  4. Place a check mark in the NOTIFY box and click the PROCESS button.
    1. When the report is ready to review, a prompt will appear that says the report is complete. 
    2. Click YES to open the report in a new window.
    3. If you do not click notify, you will need to access the report from your dashboard and it will open in the same window.
  5. If you want to create an Excel file, check the EXPORT TO FILE box before you process the report.
    1. The report will display on the screen and the file will be available on your dashboard so you can download/save it to your computer.

Review the Report

The report will show all services that have been entered into the system. The report will display any services with an issue, i.e., service authorization, consumer information, facility setup, etc. Review the report and correct any of the errors.

  1. RED Text
    1. Entries in RED TEXT is an error; the service was entered but it is not authorized.
    2. Go to the Consumer Master to see the service authorizations entered.
  2. YELLOW Highlight
    1. Entries highlighted in yellow typically are missing the authorization. 
    2. Look at the AUTH column - is an auth number listed?
      1. If an auth number is not listed, review the entry and consumer setup to verify the correct service authorization is setup.
      2. If there is not an authorization, add one. 
      3. If there is an authorization, review the details to ensure correct.
      4. If the rates are not correct, review Rebuild Processes to Rebuild the Rates
      5. After confirming the consumer setup, run the unauthorized service report with the Update Service Authorization Number checked to resolve.
