
Schedule and Batch Print Appointment Letters

- If you do not see all of the tenants that you wanted to schedule appointments with, return to the Tenant Scheduling Grid.
Print Batch Letters
NAVIGATION: ACTIVITIES menu > Merge > Batch Tenant Letters
- Letter Code: enter or select the appropriate Letter Code
- Area Number: enter or select the area; leave blank to see all areas
- Community Number: enter or select the community; leave blank to see all communities
- A community cannot be selected if the Area Number was left blank.
- Selection Type: select APPOINTMENT DATE
- From Date: enter or select the first appointment date
- To Date: enter or select the last appointment date
- Click BUILD FROM SELECTIONS button on the right side to populate the grid
- Letter Date
- The Letter Date will default to the current date.
- The date may be changed if necessary.
- The date should be the day you will be sending the letter out.
- Review the appointments/tenants shown in the grid.
- All of them should have a check mark in the X box to indicate they have been selected to receive the selected letter.
- Any of the appointments/tenants may be unchecked if they are not correct or should not receive the letter.
- Click PRINT BATCH
- If the letter has special questions, the Special Questions dialog box will be displayed.
- Enter the requested information and click CONTINUE
- Print Options box will be displayed
- Change the Direct to option from Printer to Preview
- When printing a batch of letters, it is preferable to view the batch first
- Click START
- All of the letters will be shown in the batch
- If the batch looks correct, press the printer icon at the top
- Verify that the batch of letters printed properly to complete the process and distribute.
