Go to Inquiries>>Inspection History
This program is used to view inspections that have been moved to history or voided. From within this program a completed or voided inspection may be duplicated, made active or voided.
Across the top of the program view is the toolbar containing icons which will access additional programs or options.
The following options are available from the Inspection History toolbar:
Change Status
Filter
Complete - Use this filter option to view inspections that have been moved to history
Voided - Use this filter option to view inspections that have been voided.
Enter or select an Inspection # to pull up the inspection information. Select a filter option of Complete to view Inspections that were moved to History or select the filter option of Voided to view Inspections that were voided.
The following information will be displayed in the header:
Address 1
Address 2
City
State
Zip Code
If a Work Order was created for the Inspection, the work order number will be displayed. Not Created is displayed when there is no work order associated with the inspection.
This field will display the Inspection number it was duplicated from. If this inspection was not duplicated, the field will be blank.
This area will display the following information for the tenant, unless the inspection is for a building or site when it will be blank:
Last Name
First
MI (middle initial)
In Date
Phone #
Caseworker
The date the inspection information was pulled will be displayed. The date may be edited.
The date the unit, site or buildings was inspected last will be displayed if it was available.
The date of the last scheduled appointment for this inspection will be displayed if it was entered.
The time of the last scheduled appointment for this inspection will be displayed if it was entered.
The handheld number used for the inspection will be displayed.
If applicable, the street number will be displayed
If applicable, the name of the street will be displayed.
If a Group Code was assigned, it will be displayed.
If the inspection was for a Section 8 tenant, the Section 8 tenant number will be displayed here. Otherwise, this field will be blank.
If this inspection was for a Tenant Management tenant, the Area, Community, Unit and tenant suffix will be displayed in this field. If this was not a Tenant Management tenant, this field will be blank.
The Building number will be displayed, if applicable.
The directions to the unit, site or building will be displayed in this area if they were entered.
One of the following Program Types will be displayed:
Public Housing
Section 8
If a program note was entered for the inspection, it will be displayed here.
One of the following Inspection Types will be displayed for the inspection:
Annual Inspection
Initial
Move-Out Inspection
Quality Control
Reinspection
Special
Sweep
If a note was entered for the inspection, it will be displayed in this field.
One of the following emergency tracking options will be displayed, if applicable:

Displays the names of owners or tenants who were in the unit during the inspection, if any.
Displays information from the tenant's records to show utilities that the tenant is responsible for. This information may be updated.
One or more of the following utilities may be checked:
Water
Electric
Oil
Gas
Propane
Kerosene
Sewer
Trash
Displays who owns the range, if applicable. The indicating "dot" will be in one of the following:
Owner
Tenant
Displays who owns the refrigerator, if applicable. The indicating "dot" will be in one of the following:
Owner
Tenant
Displays who owns the microwave, if applicable. The indicating "dot" will be in one of the following:
Owner
Tenant
The box will be checked if there was a pet.
Displays information regarding the pet, if applicable.
The box will be checked, if the tenant reports that the owner does indeed make repairs to the unit when requested.
The amount the tenant pays for rent was pulled from tenant records, if applicable.
May display one of the following reasons regarding the inspection:
Completed
Occupant Refusal
Mod Rehab
Locked - No Entry
Offline
Vacant

A note may have been entered regarding the inspection.
This area will not be available if "Using Dictionary for Smoke Detectors" is checked in Inspections Settings.

This area is not be available if "Using Dictionary for Condition of Unit" is checked in Inspections Settings.

This area is available for comments regarding the inspection.
Select a room from the options available to view inspection details or go to Details on the toolbar.
A deficiency may have been selected.
Pressing this button will bring up a follow-up Checklist dialog box with the following information:
Complete - place a check mark in the square if the listed deficiency has been corrected
Room - shows the room the deficiency was found in
Inspectable Item - displays the inspectable item that was deficient
Deficiency - displays the deficiency
Delete - will delete the deficiency if checked and the "Delete Marked" button is depressed.
If no deficiencies were found the checklist will be blank.
A check mark may have been entered in the box if the deficiency was passed with comment.
This button is used to delete deficiencies.
Comments may have been entered regarding the deficiencies.
A comment may have been entered, if the deficiencies were "Passed with Comment"
Click the close button to close the Follow-up Checklist dialog box.
This button may be used to add a room to the inspection.
This button may be used to delete a room from the inspections
This button may be used to edit a room.
Pick a room and click the Inspection Wizard button to open the Room Inspection interface.
Select an area or room to inspect or leave this option blank and click next.
Click the next button to continue viewing the room inspection.
Click the close button to close the inspection wizard without changing the room inspection.
Items may be checkmarked that were deficient.
One of the following severity levels may have been checked:
Level 1
Level 2
Level 3
View note information that was selected.
A checkmark may have been entered in this field if the item passed inspection and comments may have been entered in the text box.
Select the next area or room to view or leave this option blank and click next.
Continue viewing the areas or rooms until all have been viewed and you reach the Finish page.
A summary of the inspection will be displayed on this page showing the following information:
Number of items failed
Number of total deficiencies
Number of items passed with comments
General comments regarding the inspection may have been entered.
Use the quick Link area to select a room or inspectable area to return to or leave it blank and finish the inspection.
Click the back button to return to a previous inspectable room or area.
Click the finish button to complete the room inspection and close the wizard.
Clicking the close button will close the wizard.
Continue viewing inspection information as desired.
If a signature was obtained for the inspection using the Inspection tablet, it will be displayed.
Select a page number to display pictures for that page.
Press the Display Images button to display pictures for the selected page.
This area will display pictures that have been taken with an Inspection Tablet and attached to an Inspection file.

Go to Inquiries>>Inspection History>>Print>>Inspection Form
This program will open a dialog box with options to print one or more of the following: a cover page, inspection detail, inspection summary or to print pictures for a closed inspection number.
Note:
Inspection Forms may also be printed from the Inspection Master or in a batch using Inspection Form.
At the top of the report view is a toolbar contain the following report options:
Preview
Print with Setup
Export
Clear Selections

Defaults to the inspection number that was selected when Print>>Inspection Form was selected.
The default inspection number may be changed by selecting a different inspection for the report.
The options default to having all the pages checked. Uncheck or check any of the following pages to print:
Cover Page
Inspection Detail
Inspection Summary
Print Pictures
For Inspection Detail and or Inspection Summary select one of the following options:
Default
Force Print all Comments

Go to Inquiries>>Inspection History>>Details
This program will display inspection details for the selected room and item.
Select a room to view inspection details.
Select an Inspectable Item from the list.
Click the Previous button to go back to a room item that was inspected and already viewed.
Click the Next button to go on to the next room item that was inspected.
If items were noted during the inspection process, the information will be displayed. When new items are double clicked in the grid the note fields will be opened for editing.
If an item was passed with a comment during the inspection, the box will be checked. When new items are double clicked in the grid the box will be available for a editing.
If the inspection of the item was inconclusive, this box will display a checkmark. When new items are double clicked in the grid the inconclusive field will be open for editing.
Any comments added during the inspection of the item will be displayed. When new items are double clicked in the grid the comment box will be available for entry/editing.
When a room and item are selected, the deficiencies associated with the room item will be displayed. Changes may be made in the grid by highlighting or double clicking a line.

Go to Inquiries>>Inspection History>>Change Status>>Move Inspection to Active
This program will move the Completed Inspection that has been selected for viewing over to the Inspection Master program.
The move is instantaneous, there is no confirmation.

Go to Inquiries>>Inspection History>>Change Status>>Duplicate and Move to Active
This program will create a copy of the selected completed inspection. The copy will be moved to the Inspection Master while the original will remain in Inspection History.
When this options is selected the following question box will appear:

Click Yes to copy the inspection and move the copy to the Inspection Master.
Click No to return to Inspection History without duplicating the inspection.
Go to Inquiries>>Inspection History>>Change Status>>Void Inspection
This program will void the selected inspection.
When this program is selected from the Complete menu the following confirmation question will appear:

Click Yes to void the inspection
An inspection that has been voided may be viewed and/or changed back to active status from the Inspection History program by selecting the filter option of "Voided".
Click No to return to the Inspection Master without voiding the inspection
